7. AI-Assisted Communication
We use a locally-hosted AI system based in Queensland, Australia to assist in preparing draft responses to customer inquiries submitted through our contact forms. This system helps us provide faster and more consistent initial responses to your questions.
Important safeguards:
- All AI-generated draft responses are reviewed and approved by a human staff member before being sent to you
- The AI system runs entirely on our own servers in Queensland - your data is not sent to external AI service providers
- We maintain human oversight and quality control of all communications
- The system is used to improve response quality and consistency, not to replace human judgment
8. Vector Embeddings for Service Improvement
To continuously improve the quality of our inquiry responses, we convert inquiry content and final approved replies into de-identified vector embeddings. These embeddings are mathematical representations that help our system identify similar questions and provide better responses over time.
Privacy protections:
- Before creating embeddings, we remove or mask all personal identifiers (names, email addresses, phone numbers, property addresses)
- Embeddings are stored securely in our database in Queensland, Australia
- These embeddings are used only for internal similarity matching and service improvement
- They are never used for external model training or shared with third parties
- De-identified embeddings are reviewed annually to confirm they remain necessary and privacy-safe
9. Cloudflare Turnstile
We use Cloudflare Turnstile to protect our contact forms from spam, bots, and abuse. This security service helps ensure that all form submissions come from real people.
What Cloudflare collects:
- Limited technical data such as browser information, device type, and IP address for security verification purposes
- No personal information entered in the form (name, email, phone, message) is shared with Cloudflare beyond what is necessary for verification
- Cloudflare acts as our service provider and processes this data solely to validate legitimate submissions

10. Data Storage and Location
Your personal information and de-identified embeddings are stored and processed in Queensland, Australia. We do not intentionally transfer personal information outside Australia.
Important notes:
- All databases and AI systems are hosted on Australian servers
- Internet traffic may transit through global networks (for example, Cloudflare's content delivery network for security), but all storage and processing of personal data occurs in Australia
- Your data is protected under Australian privacy laws, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles
